DAM shortlist for regulated industries such as pharma: 5 vendors scored on 3 scenarios

Short answer

The DAMSelection shortlist for regulated industries such as pharma names five DAM candidates: Aprimo, Celum, Hyland Nuxeo, OpenText and Orange Logic. The list fits organisations where medical, legal and regulatory reviewers approve assets and auditors ask who changed what. Celum is the only candidate documenting EU hosting by default, on Microsoft Azure in Amsterdam with ISO/IEC 27001:2022 certification.

Facts on this page are verified against vendor documentation and public sources, each linked. Scenario scores publish after the scripted demo round.

Who this shortlist is for

The regulated industries shortlist serves pharma, life sciences and other organisations where an asset cannot go live before a documented review. Typical stakeholders are a brand lead who owns the content, a review owner from medical, legal or regulatory affairs, and an IT security lead.

Use this shortlist when three conditions hold:

  • Promotional and scientific assets pass a multi-step review with named approvers.
  • Auditors or inspectors expect a complete history of every asset change.
  • Claims and approval status differ by market, and an asset approved in one market must stay blocked in another.

The pharma and life sciences fit guide covers the wider requirements. Organisations running many consumer brands without a formal review step belong on the enterprise multi-brand shortlist.

What the scenarios demand

The three regulated scenarios test review control, traceability and market-level restrictions, which together decide whether the DAM survives an audit.

ScenarioWhat the vendor must showCriteria it tests
Medical and legal review workflowMulti-step review with named reviewers, annotations and versions, plus an approval record tied to the exact version approvedWorkflow and approvals
Audit trail for every asset changeWho changed what and when, for files, metadata and permissions, exportable for an auditorSecurity, hosting and compliance; administration and total cost profile
Market-specific claims controlClaims and approval status per market held as metadata, with use blocked in markets without approvalRights and licence management; metadata and taxonomy flexibility

DAMSelection assessment: the approval record must stay locked to the file version that was approved. Test that link first, because every later audit depends on it.

Why each candidate is on the list

Aprimo, OpenText and Orange Logic were named Leaders in The Forrester Wave: Digital Asset Management Systems, Q1 2026. Celum and Hyland Nuxeo add documented hosting and deployment controls. Each subsection lists the evidence and what to test.

Aprimo

Fact: Aprimo describes its Agentic DAM, available since March 2026, as persistent agents with human-in-the-loop review and audit trails. The May 2025 AI Agents release includes a Compliance agent. AI Content Detection flags AI-influenced files at ingestion, reads embedded CAI provenance data and lets admins quarantine or route flagged assets.

Aprimo runs as SaaS on Microsoft Azure and holds SOC 2 Type II. Watch-out: the trust centre states no ISO/IEC 27001 certificate, hosting regions or data residency options. AI Content Detection sits in the AI Elite add-on.

What to test: run the review scenario with the Compliance agent and export the audit trail. Ask for the hosting region in writing.

Celum

Fact: CELUM hosts on Microsoft Azure in Amsterdam by default and keeps productive data zone-redundant across three EU availability zones. A single-tenant option exists. CELUM states ISO/IEC 27001:2022 certification plus SAML, OIDC, MFA and SCIM 2.0 provisioning.

CELUM previewed agents in CELUM WORKS for recurring approval and production tasks at CELUM Summit 26 in June 2026. Watch-out: hosting outside the EU is limited, with Switzerland evaluated case by case.

What to test: the sources DAMSelection verified document no audit trail or review feature for Celum, so ask CELUM to show both live.

Hyland Nuxeo

Fact: Hyland sells Nuxeo as SaaS on AWS and as a self-managed platform under an open-source licence. Nuxeo LTS 2025.3 supports a Retention addon on Amazon S3 and Google Cloud Platform. Knowledge Enrichment classifies documents, extracts named entities and saves summaries as metadata.

Hyland's 2025 cloud overview lists SOC 2 and SOC 3 audits, ISO 27001 or a local equivalent and CSA STAR registration. Watch-out: that overview covers Hyland Cloud in general, and Hyland publishes no Nuxeo-specific region list.

What to test: run the audit trail scenario on the deployment you plan to buy. Ask Hyland to confirm current Nuxeo Cloud certifications.

OpenText

Fact: OpenText Digital Asset Management runs on premises, in private cloud or as a managed service. Partner add-ons cover medical, legal and regulatory review through Acheron and rights clearance through Rights Cloud by FADEL. Its UK G-Cloud listing states ISO/IEC 27001 and Cyber Essentials Plus.

Watch-out: the G-Cloud listing sets a standard recovery time objective of 7 days.

What to test: run the review scenario with the Acheron extension and export the audit trail.

Orange Logic

Fact: Orange Logic Agent Studio offers prebuilt and custom agents that tag, check rights and route assets. The agents read metadata, permissions and workflow status. The AI features page describes rights detection and tracking of AI-generated assets.

The security page states GDPR, HIPAA and FINRA compliance. Watch-out: Orange Logic refers to ISO 27001 and SOC 2 Type 2 audits without publishing a certificate, and names no hosting regions.

What to test: build a market-specific claims rule in Agent Studio and show the block on an unapproved market. Request both certificates.

Hosting and compliance evidence

The five candidates publish uneven hosting and certification evidence, so the security review must request documents from every vendor.

VendorDeploymentHosting and residencyCertifications documented
AprimoSaaS on Microsoft AzureRegions not publishedSOC 2 Type II
CelumSaaS on Microsoft Azure, single-tenant optionAmsterdam by default; Switzerland on requestISO/IEC 27001:2022
Hyland NuxeoSaaS on AWS, or self-managedHyland Cloud stores data in-region; no Nuxeo region listSOC 2, SOC 3, ISO 27001 or local equivalent, CSA STAR (2025 overview)
OpenTextOn premises, private cloud or managed serviceUK and EEA on G-CloudISO/IEC 27001, Cyber Essentials Plus
Orange LogicCloud on AWS, Azure or Google Cloud; hybrid through Media BridgeCustomer chooses the storage location; regions not namedISO 27001 and SOC 2 Type 2 audits referenced, no certificate published

Use the DAM security review to request certificates, audit reports and sub-processor lists. The data residency definition explains what to ask about region and processing location.

How to run the selection

The regulated selection follows the seven-checkpoint Selection Route, with review owners and quality staff in the selection team from Checkpoint 1.

  1. Map the review process: steps, roles, markets and the records auditors request today.
  2. Define claims, market and approval status as metadata fields before any demo.
  3. Send security and hosting questions with the RFI, and remove vendors that cannot document them.
  4. Send the three scenarios with your own assets, following the scripted demo method.
  5. Score with the public scoring model and check references in a regulated organisation.

DAMSelection assessment: generic vendor demos carry no selection value here. Ask each vendor to export the audit trail of the demo itself, and score the export.
