Short answer
Data residency is the physical location where data and its backups are stored and processed. European DAM buyers often require EU residency for master files, backups, search indexes and AI processing. Residency is proven only when the vendor's sub-processor list and the contract name the regions for all 4 of those data flows.
How data residency works in a DAM
Data residency in a DAM covers every place a copy of an asset or its metadata exists, beyond the primary storage region. A typical cloud DAM holds data in six kinds of location.
| Data flow | Where copies can sit | What to ask |
|---|---|---|
| Master files and renditions | Primary storage region | Which region, and can the buyer choose it |
| Backups and disaster recovery | Secondary region | Which region, and how long backups are kept |
| Search index and metadata | Database and search clusters | Same region as storage, or elsewhere |
| AI processing | Model hosting region, sub-processors | Where tagging and generation run |
| Delivery caches | CDN edge servers worldwide | Which assets are cached, and for how long |
| Support access and logs | Vendor support locations | Who can access data, and from where |
Fact: the EU General Data Protection Regulation (Regulation (EU) 2016/679) sets the conditions for transferring personal data outside the EEA in Chapter V, Articles 44 to 50. Images of identifiable people and user account records count as personal data.
Example of data residency
Worked example: a buyer requires primary storage in Frankfurt and backup in Amsterdam. The vendor confirms both regions in the order form.
During the security review, the sub-processor list shows that auto-tagging runs on a model hosted in the United States. The buyer then asks for an EU processing option, or switches auto-tagging off for images of people.
Data residency in a DAM selection
Data residency belongs at checkpoint 2, Define, as a requirement, and at checkpoint 4, Shortlist, as a knockout criterion. The contract terms follow at checkpoint 7, Sign, using the contract clauses guide.
Check these four points before and during the demo:
- Ask for the region of each data flow in the table, in writing.
- Review the current sub-processor list, including AI model providers.
- Ask how the vendor notifies customers before adding a sub-processor or region.
- Confirm which regions apply to the pricing tier quoted.
Treat AI processing as a residency question. The AI in DAM guide covers AI data flows, and the security review guide covers the evidence to request. Vendor profiles in the vendor directory list hosting regions where verified.
Common mistakes with data residency
Data residency checks fail through four common mistakes.
- Checking primary storage only and missing backups, search and logs.
- Missing AI features that send assets to another region for processing.
- Ignoring CDN edge caches for images of people.
- Accepting a sales statement without a contract clause and a sub-processor list.

Frequently asked
Does GDPR require EU data residency for a DAM?
GDPR does not by itself require EU storage. Chapter V of the Regulation allows transfers outside the EEA under conditions such as adequacy decisions or appropriate safeguards. Many European buyers still set EU residency as company policy, so state the requirement explicitly in the RFP.
Do CDN caches count for data residency?
CDN edge caches hold copies of delivered assets on servers in many countries. Public product images rarely raise concerns. Images of identifiable people and internal assets need a decision on caching regions or signed, short-lived URLs.
