WoodWing Assets DAM review: fit, pricing model and integrations

Short answer

WoodWing Assets is the DAM product of WoodWing, a Dutch content software company founded in 2000, formerly sold as Elvis DAM. WoodWing Assets fits publishers and brand teams that already produce in Adobe InDesign or WoodWing Studio, and it runs either in WoodWing Cloud or on the customer's own infrastructure. WoodWing Group holds ISO/IEC 27001 certification for its information security management system.

Facts on this page are verified against vendor documentation and public sources, each linked. Scenario scores publish after the scripted demo round.

What WoodWing Assets is

WoodWing Assets is a DAM platform that stores, organises and distributes assets, with configurable metadata, automated workflows and branded portals.

WoodWing sells Assets next to WoodWing Studio, its editorial and publishing system, and WoodWing Connect, its integration suite. The wider group includes Xtendis and Scienta.

From Elvis DAM to WoodWing Assets

WoodWing Assets has carried three names, which matters when buyers read reviews and older documentation.

Ownership

WoodWing is a Dutch company in which Main Capital Partners acquired a strategic majority stake in March 2020, with key management keeping a minority stake. WoodWing acquired Emerge in 2017, Expansion (Xtendis) and Scienta in 2021, and its strategic partner Qonqord in 2025.

Where WoodWing Assets fits

WoodWing Assets sits in the DAMSelection European specialists segment of the DAM vendor directory, serving buyers who weigh data residency, local support and industry depth such as publishing. The five DAM segments explain the segment logic.

DAMSelection assessment: WoodWing Assets fits best under these conditions.

  • Magazine, newspaper, book and corporate publishers that lay out in Adobe InDesign.
  • Organisations already running WoodWing Studio, since Assets integrates with it natively.
  • Multi-brand or multi-region teams that want one shared library with a branded portal per brand, region or partner.
  • Buyers who need a choice between managed cloud and their own infrastructure.

DAMSelection assessment: another segment fits better when a packaged PIM connector must be proven at shortlist stage, or when hosting must sit in a region other than Frankfurt, Northern Virginia or Sydney. See Fotoware vs WoodWing Assets and the media and publishing shortlist.

How WoodWing Assets covers the core DAM jobs

WoodWing Assets documents configurable metadata, automated workflows and portals, with less public detail on renditions and rights.

DAM jobWhat WoodWing documents
Ingest and renditionsAI auto-tagging on upload; a built-in photo and video editor to crop, resize and adjust
Metadata and searchConfigurable metadata, permissions and approval paths per team
Workflow and rightsAutomated workflows from upload to publish; rights management is not described on the product page
Distribution and sharingControlled links, portals and multi-brand portals; approved content pushed to other systems

DAMSelection assessment: the product page does not document licence expiry or usage rights fields. Test rights handling with your own licence data and the usage rights guide as the checklist.

AI in WoodWing Assets

WoodWing Assets ships AI auto-tagging today, and WoodWing lists two further AI capabilities without availability status.

  • Fact: the WoodWing Assets product page states that new assets are tagged automatically on upload, as part of the version 10 updates.
  • Listed without status: AI-generated alt text and meta descriptions.
  • Listed without status: context-aware AI search.

WoodWing names no AI providers and no data processing locations on its AI innovations page. Ask for both in writing, and ask which AI features are included in the base licence.

Product content and PIM integration

WoodWing Assets connects to other systems through WoodWing Connect, and WoodWing lists no packaged PIM connector. Pre-built Workato integrations are paid add-ons, available only to WoodWing Cloud customers. WoodWing Connect combines APIs, webhooks, plugins and an iPaaS powered by Workato, plus an Integrations Marketplace. The WoodWing Assets FAQ names CMS, CRM, CDN, project management and AI tools as integration categories.

DAMSelection assessment: an iPaaS can link a PIM without custom code, but each recipe still needs an owner, a mapping and a test plan. Ask WoodWing to show the exact marketplace listing or Workato recipe for your PIM. Check the PIM and DAM Fit Map for the current rating.

Hosting, security and contract checks

WoodWing documents group-level ISO/IEC 27001 certification and a choice of cloud or self-hosted deployment. The September 2025 compliance statement names NEN-EN-ISO/IEC 27001:2023 for WoodWing Group. WoodWing runs annual external penetration tests on all software it provides to customers.

WoodWing Cloud runs in three regions: Frankfurt for EMEA, Northern Virginia for the US and Sydney for APAC. Each customer picks one region at subscription start, and all production and non-production environments stay there. The pages DAMSelection opened do not name the cloud provider, encryption, backup schedule or SSO protocols. Confirm these points in the contract, using the security review guide:

  1. The cloud provider behind WoodWing Cloud and the backup location for your chosen region.
  2. Whether the ISO/IEC 27001 scope includes WoodWing Cloud operations for Assets.
  3. Encryption at rest and in transit, and backup retention.
  4. SSO and user provisioning standards supported.
  5. Sub-processors for AI tagging.
  6. Upgrade and support terms if you host Assets on your own infrastructure.

What to test in a scripted demo

A scripted WoodWing Assets demo should test the publishing integrations and portals on your own content. Use the scripted demo method.

  1. Place 20 of your images in an InDesign layout from Assets, update one in Assets, and show the layout link refresh.
  2. Upload 200 images and measure the precision of auto-tagging against your keyword list.
  3. Configure one metadata schema with your fields and one approval path for a regional team.
  4. Build two branded portals for two brands on one shared library.
  5. Show the WoodWing Connect recipe or connector that sends approved images to your PIM.
  6. Export 500 assets with full metadata and show the file format.

Pricing questions to ask

WoodWing publishes no prices for WoodWing Assets and quotes on users, storage volume, customisation and integration. Model five-year cost in the TCO calculator.

  1. Which user types count as licensed users, including portal visitors.
  2. The included storage volume and the price per extra unit.
  3. Whether WoodWing Cloud hosting is priced separately from the licence.
  4. Whether the Workato iPaaS in WoodWing Connect carries its own subscription.
  5. Which AI features are in the base licence and which cost extra.

Worked example: a publisher with 15 editors, 60 contributors and 4 brand portals should ask for a quote at each of those three user levels. That reveals which user type drives the price.
