DAM shortlist for mid-market marketing teams: 5 vendors scored on 3 scenarios

Short answer

The DAMSelection shortlist for mid-market marketing teams names five brand and marketing DAM candidates: Acquia DAM, Brandfolder, Bynder, Canto and Frontify. The list fits a marketing team of about 50 people replacing a shared drive and opening a portal to partners. Acquia DAM is the only candidate that publishes plan limits, starting at 50 users and 1 TB.

Facts on this page are verified against vendor documentation and public sources, each linked. Scenario scores publish after the scripted demo round.

Who this shortlist is for

The mid-market shortlist serves in-house marketing teams that have outgrown shared folders and need a governed brand library with a partner portal. The budget owner is usually a head of marketing or brand manager, and a marketing operations lead runs the library day to day.

Use this shortlist when these conditions hold:

  • One central team manages one brand or a small brand family.
  • About 50 internal users, as in the first scenario, plus external partners such as agencies, resellers or franchisees.
  • Light IT involvement: SaaS, single sign-on and standard connectors to Microsoft 365, the CMS and design tools.

Teams still unsure they need a DAM can start with the signs you need a DAM guide. Teams moving off SharePoint can compare the same vendors on the SharePoint alternatives page. Organisations running many brands from one tenant belong on the enterprise multi-brand shortlist.

What the scenarios demand

The three mid-market scenarios test migration from folders, controlled partner access and approval speed, which together decide adoption in the first year.

ScenarioWhat the vendor must showCriteria it tests
A 50-person marketing team replacing a shared driveBulk import of a folder tree, folder levels converted into metadata, search by tag and visual similarityAsset ingestion and processing; metadata and taxonomy flexibility; search and AI discovery
Brand portal for 20 partnersPartner logins or share links, brand-controlled downloads, expiry dates and the cost of 20 external usersBrand portal and sharing; administration and total cost profile
Monthly campaign production with approvalsReview states, named approvers, versions and a round trip from Adobe Creative Cloud or FigmaWorkflow and approvals; creative tool integration

DAMSelection assessment: the partner portal scenario exposes the largest pricing differences, because vendors count external users in different ways. Ask every vendor to price the 20 partners explicitly.

Why each candidate is on the list

All five candidates sit in the DAMSelection brand and marketing DAM segment, and each documents hosting, certifications and creative tool connectors in its facts file. Each subsection adds the documented evidence and what to test.

Acquia DAM

Fact: Acquia DAM publishes plan limits. Workgroup covers 50 users and 1 TB, Mid-Market 500 users and 5 TB, and Enterprise unlimited users and 10 TB. AI Search, AI Tagging and an AI knowledge base come in every tier.

European customers can opt for storage, processing and backups in AWS EU West and EU Central. Watch-out: Workflow, Templates, Portals+ and other add-ons are quoted separately, and Natural Language Search is designed for English.

What to test: price the partner portal with Portals+ and the approvals scenario with Workflow, since both sit outside the base plan.

Brandfolder

Fact: Brandfolder Smart CDN links resize and convert images through URL parameters. The links stop serving when an asset expires, loses approval or is deleted. Brandfolder documents a SOC 2 Type 2 audit, SAML 2.0 single sign-on and AES-256 encryption at rest.

Watch-out: Brandfolder has changed owner twice since 2020. Smartsheet bought it, and funds managed by Blackstone and Vista Equity Partners took Smartsheet private in January 2025. The security article names US and European storage without stating how a customer selects the region.

What to test: expire a partner asset and show the embedded link stop serving. Ask in writing which region will hold your data.

Bynder

Fact: Bynder assembles a custom package from modules such as DAM, Asset Workflow, Content Workflow and Studio, priced on users, storage and usage. Bynder offers EU-only hosting in Frankfurt and holds SOC 2 Type II and ISO 27001:2022. Forrester named Bynder a Leader in its Q1 2026 DAM Wave.

Watch-out: the AI search features require a contract upgrade. The Adobe CC Connector is developed by LinkrUI and labelled Bynder supported.

What to test: run the monthly approvals scenario in Asset Workflow and confirm which modules the quote includes.

Canto

Fact: Canto hosts on AWS in Ireland, Germany, US West, Canada Central and Australia, and the customer chooses the region. Canto states ISO/IEC 27001:2022 certification and shares its SOC 2 Type 2 report under NDA. Canto XI, launched in October 2025, added Brand Studio, Approval Hub, AI Library Assistant and Media Publisher.

Canto lists Microsoft 365 apps including Teams, SharePoint and Outlook. Watch-out: AI Visual Search and the AI Library Assistant are add-ons that run only in the New Library interface.

What to test: migrate a sample folder tree from your shared drive and run one campaign cycle in Approval Hub.

Frontify

Fact: Frontify prices on monthly active users, and external partners who log in count as users. Frontify develops its own Adobe CC Libraries integration and Figma plugin, both free on all plans. Frontify lists ISO 27001:2022, SOC 2 Type II, TISAX and Cyber Essentials.

Watch-out: Frontify documents the choice between US and EU hosting for enterprise customers only.

What to test: model the 20-partner portal with partner logins counted as monthly active users. Confirm the hosting region for your package.

How the pricing models compare

All five candidates quote their prices, and the documented price drivers differ: users, storage, modules or monthly active users.

VendorPricing archetypeDocumented price drivers
Acquia DAMQuote-based tiers with published limitsUsers, storage and API calls per tier; add-ons and implementation quoted separately
BrandfolderQuote-based Premium and Enterprise plansPlans route to a demo; Brand Intelligence sold as a separate product
BynderQuote-based modular packageUsers, storage and usage
CantoQuote-based tiers; one AWS Marketplace offerTeam size and storage; the AWS Marketplace package with 2 TB and 5 Power Users costs USD 25,000 for 12 months
FrontifyQuote-based, monthly active usersExternal partners who log in count as users

DAMSelection assessment: storage, egress and AI credit consumption drive five-year DAM cost more than licence fees. Run every quote through the TCO calculator with the same asset count, storage growth and partner count.

How to run the selection

The mid-market selection follows the seven-checkpoint Selection Route with a smaller team: one budget owner, one library owner and one IT contact.

  1. Audit the shared drive with the content audit method: count assets, duplicates, file types and folder levels.
  2. Convert the folder levels into a draft metadata schema.
  3. Send the three scenarios with a sample of your own assets, following the scripted demo method.
  4. Ask each vendor to price 50 internal users, 20 partners and your storage volume in one quote.
  5. Score each demo with the public scoring model and call two references at a similar team size.

DAMSelection assessment: the metadata model decides DAM success, so convert folders into metadata before the first demo.

Frequently asked

What is the best DAM for a marketing team?

DAMSelection names five candidates for mid-market marketing teams: Acquia DAM, Brandfolder, Bynder, Canto and Frontify. The best fit depends on how each vendor handles your three scenarios: replacing a shared drive, a portal for 20 partners and monthly approvals. Ranking publishes after scripted demo evidence exists.

How much does a DAM cost for a mid-market marketing team?

None of the five candidates publishes a price on its pricing page; all of them quote. Acquia DAM publishes plan limits, and Bynder, Canto and Frontify name their price drivers. Compare quotes on one set of assumptions with the TCO calculator, including storage growth and external users.

Do external partners count as DAM users?

Frontify states that external partners who log in count as monthly active users. The other four publish no partner counting rule in the sources DAMSelection verified, so ask each vendor to price 20 partner logins in writing.

Which mid-market DAM vendors offer EU hosting?

Bynder offers EU-only hosting in Frankfurt, and Canto hosts in Ireland and Germany with customer region choice. Acquia DAM lets European customers opt into AWS EU regions. Frontify offers Frankfurt to enterprise customers, and Brandfolder names European storage without a documented selection method.

Can a DAM replace SharePoint for marketing assets?

A DAM replaces SharePoint as the marketing asset library when the team needs metadata search, renditions, approvals and a partner portal. Canto lists Microsoft 365 apps, including SharePoint and Teams, for teams that keep documents in Microsoft 365.
