Short answer
Extensis Portfolio is an on-premise digital asset management system, sold since March 2026 as Portfolio DAM by Portfolio DAM, LLC, a division of Axle AI. Portfolio fits creative, media and archive teams that must keep every file on their own servers. Published bundles start at $5,995 per year for 2 users, which suits small teams that already run Windows server capacity.
Facts on this page are verified against vendor documentation and public sources, each linked. Scenario scores publish after the scripted demo round.
What Extensis Portfolio is
Extensis Portfolio is a self-hosted DAM system that catalogs files on customer servers and gives users browser access through Portfolio Web. Extensis, founded in Portland, Oregon, in 1993, built the product and kept it after Monotype bought Extensis in November 2024.
Axle AI acquired Portfolio on 9 March 2026 and placed it in a new division, Portfolio DAM, LLC. The Monotype release states that the product retains the Portfolio branding. The product now lives at portfoliodam.com, and the 2026 releases use the name Portfolio DAM.
The documented modules are:
- Catalogs, either vault-based (Portfolio stores the files) or watch folder catalogs (Portfolio indexes files in place)
- Galleries and smart galleries for saved selections and saved searches
- NetPublish, which publishes a gallery as a website hosted on the Portfolio server
- DropZone web uploads, a query-to-email digest and Connectr workflow automation
- A REST API for third-party applications
Where Extensis Portfolio fits
Extensis Portfolio sits in the DAMSelection segment brand and marketing DAM, at the on-premise end of that segment. Portfolio DAM markets the product to media teams, companies and cultural institutions, and its September 2026 bundles add colour proofing for print workflows.
DAMSelection assessment: Portfolio fits a buyer who needs files inside the corporate network and has staff to run a Windows server. Another segment fits better when the buyer wants vendor-hosted SaaS, brand guideline portals or a packaged PIM connector.
| Buyer condition | Portfolio fits | Look at another segment |
|---|---|---|
| Assets must stay on owned servers | Yes, on-premise or private cloud | |
| No in-house server administration | Brand and marketing SaaS vendors | |
| Product images feed a PIM daily | Product content, packaging and commerce | |
| EU data residency with vendor hosting | European specialists | |
| Licence-free self-hosting | Open source |
Small teams can compare the profile with the small business fit page, and the vendor directory lists the other segments.
How Extensis Portfolio covers the core DAM jobs
Extensis Portfolio documents the four core DAM jobs through its knowledge base, with ingest and version control documented in most detail.
Ingest and renditions
Portfolio ingests a whole folder into a vault-based catalog and keeps the subfolder hierarchy. The Portfolio server must reach the folder on a local drive or network share, because folders mapped to a drive letter stay invisible to it. Watch folders, convert presets and batch processing appear as separate knowledge base articles.
Metadata and search
Portfolio supports custom fields of several field types, a Master Keyword list, QuickFind and Advanced Find. Metadata imports from and exports to text files, which helps a migration. Design the metadata schema before the demo, so the vendor configures your fields instead of sample ones.
Workflow and rights
Portfolio ships four catalog roles: Catalog Administrator, Publisher, Editor and Reader. Administrators can add custom roles. Check-out and check-in create a version automatically, and assets can be locked. No rights or licence expiry module is documented, so rights rules need a scripted test.
Distribution and sharing
NetPublish publishes a gallery to a website on the Portfolio server, with a Site Builder for layout. Users also download files, create PDF contact sheets and receive saved query results by email.
Product content and PIM integration
Extensis Portfolio documents no packaged PIM connector, so any PIM link runs through the Portfolio REST API. The knowledge base labels the older SOAP API as deprecated and states that server-side scripting integrations are no longer actively supported.
DAMSelection assessment: a PIM owner should budget a custom integration and test it before signing. Check the PIM and DAM Fit Map for the connector depth of each PIM, and read DAM vs PIM for the split of responsibilities.
Hosting, security and contract checks
Extensis Portfolio runs only on infrastructure the customer controls: on-premise physical or virtual servers, or private cloud instances on AWS, Azure or OVH. The evaluation system needs Windows or Windows Server with 32 GB of RAM or more.
Documented security controls are an SSL certificate that replaces the default self-signed one, and user mapping from Active Directory over LDAP. Portfolio DAM publishes no security certifications. The licence is an account-based subscription, and activation needs outbound access to cwsg.extensis.com on port 443, with offline activation through support. After expiry the server drops to a read-only mode for a grace period, and the catalog data stays intact.
Confirm these points in contract:
- The product roadmap and support commitment of Portfolio DAM, LLC after the 2026 ownership change
- The licence activation service after the move from Extensis to Axle AI
- Single sign-on beyond LDAP, as SAML is undocumented
- A full export of files and metadata on exit
The security review guide lists the evidence to request.
What to test in a scripted demo
Extensis Portfolio claims should be tested on your own files with the steps in the demo script guide.
- Ingest a network folder of 2,000 mixed files by UNC path and time the cataloging.
- Build your custom fields and Master Keyword list, then import metadata for 200 assets from a text file.
- Check out a layered design file, edit it, check it in and recover the earlier version.
- Publish a gallery through NetPublish to an external agency and show who can open it.
- Pull approved files into your PIM or website through the REST API.
- Show the licence expiry behaviour and an offline activation.
- Run Axle AI Tags on 100 of your images, if AI tagging is in scope.
Pricing questions to ask
Extensis Portfolio publishes annual prices for three on-premise bundles, announced in September 2026, and sells extra seats, asset packs and add-on modules through its account team.
| Bundle | Annual price | Contents |
|---|---|---|
| Entry | $5,995 | 2 users |
| Team | $8,995 | 5 users |
| Team with AI | $18,995 | 5 users, Axle AI Tags, second server |
Worked example: the $8,995 bundle over five years costs $44,975 in subscription before hardware, storage, backup and administration time. DAMSelection assessment: for self-hosted DAM, those internal costs often outweigh the subscription.
Ask these questions:
- What does each user above 5 cost, and what asset limit applies
- Which add-on modules carry separate fees
- Does a turnkey bundle include server hardware replacement
- What renewal uplift applies, and do multi-year terms cap it
Model the result in the TCO calculator.
Strengths and watch-outs
DAMSelection assessment Drawn from vendor documentation and public sources verified on 2026-10-15. Demo evidence follows in the scripted demo round.
Strengths
- Portfolio DAM runs on a server in the customer network or in a private cloud instance on AWS, Azure or OVH, so the customer decides where every asset is stored. source
- Portfolio DAM publishes annual bundle prices of $5,995 for 2 users, $8,995 for 5 users and $18,995 for 5 users with Axle AI Tags and a second server. source
- Portfolio creates a new asset version automatically on every change, property edit or check-in in a vault-based catalog, and keeps earlier versions available for download. source
Watch-outs
- Portfolio changed owner twice in 16 months: Monotype bought Extensis in November 2024 and sold Portfolio to Axle AI in March 2026, which runs it through the new Portfolio DAM, LLC. source
- Portfolio DAM documents no vendor-hosted SaaS option, and its evaluation system needs a Windows or Windows Server host with 32 GB of RAM or more. source
- Portfolio labels its SOAP API as deprecated, and states that its server-side scripting integrations are no longer actively supported, which leaves the REST API as the supported integration route. source

Frequently asked
How much does Extensis Portfolio cost?
Extensis Portfolio, now Portfolio DAM, publishes three on-premise bundles: $5,995 per year for 2 users, $8,995 for 5 users and $18,995 for 5 users with Axle AI Tags and a second server. Extra seats, asset packs and add-on modules are ordered through the account team. Server hardware, storage and administration time add to the subscription.
Who owns Extensis Portfolio now?
Axle AI owns Extensis Portfolio since 9 March 2026 and runs it through Portfolio DAM, LLC. Monotype, which bought Extensis in November 2024, sold the product. Extensis remains a Monotype company, and the Portfolio name continues.
Does Extensis Portfolio run in the cloud?
Extensis Portfolio runs on servers the customer controls. That covers on-premise physical or virtual machines and private cloud instances on AWS, Azure or OVH. Portfolio DAM documents no vendor-hosted SaaS service, so the customer operates the server, backups and updates.
Does Extensis Portfolio integrate with a PIM?
Extensis Portfolio documents no packaged PIM connector. Integration runs through the Portfolio REST API, which Portfolio DAM names as its primary API. The older SOAP API is deprecated, so new PIM integrations should use REST and be tested in the demo.
Does Extensis Portfolio have AI tagging?
Extensis Portfolio lists automatic keywording as coming soon on its homepage. The September 2026 bundle release adds Axle AI Tags, an on-premise engine for scene, face, logo and object recognition plus OCR, to the $18,995 bundle. Ask for a live test on your own images.
