How DAM pricing works

Short answer

DAM pricing follows three archetypes: per seat, where cost scales with named users; per storage tier, where cost scales with library volume; and platform tier, where one package bundles users, storage and modules. Add-ons for AI credits, portals, connectors and environments often change the ranking, so compare quotes on five-year cost after normalising users, volume and modules.

The three DAM pricing archetypes

DAM pricing falls into three archetypes, and each one rewards a different shape of organisation. The archetype matters more than the headline price, because it decides which of your growth lines the vendor charges for. Pricing sits in checkpoint 3, Justify, of the Selection Route.

ArchetypeMain price driverSuitsWatch-out
Per seatNamed or role-based usersLarge libraries with few active usersDefinition of a user, external and portal users
Per storage tierLibrary volume in TB or asset countMany users, moderate and stable volumeVideo and high-resolution masters push the library into higher tiers
Platform tierA package of modules, users and storageOrganisations that need several modules at onceWhat each tier includes, and the step to the next tier

DAMSelection assessment: most quotes mix archetypes. A platform tier can carry a seat cap, and a per seat plan can carry a storage allowance. Classify a quote by the line that grows fastest in your five-year model.

The TCO Calculator models all three archetypes side by side with editable unit prices. The worked examples on this page use the calculator's default example unit prices. Those prices come from no vendor and demonstrate the model only.

Per seat pricing

Per seat DAM pricing charges for each user licence, so cost tracks headcount more than library size. The model suits a central team managing a large archive for a small group of active users.

The definition of a user decides the bill. Ask the vendor to define each of these in writing:

  • Named user: one licence per person, whether active or not.
  • Role-based user: different prices for administrators, contributors and viewers.
  • Concurrent user: a pool of licences shared by many people.
  • External user: agency, retailer or partner accounts with their own price.
  • Portal visitor or share-link recipient: free or capped, depending on the vendor.

Worked example with the calculator's example unit prices: 60 named users at €900 and 150 external users at €60 cost €63,000 per year. The calculator adds a storage component at a quarter of the €1,500 per TB example rate. For a 3.36 TB library, that adds €1,260 in year 1.

Per seat pricing gets expensive when a DAM rollout succeeds. Every regional marketer, agency and product manager who joins adds a licence. Model the user count at full adoption, and ask for the price of read-only users before signing.

Per storage tier pricing

Per storage tier DAM pricing charges by library volume, with a base fee and steps as the library crosses tier limits. The model suits organisations with many casual users and a library that grows slowly.

Growth decides the cost. A library growing 25% a year roughly doubles in about three years, because 1.25 to the third power is 1.95. Video, layered design files and high-resolution masters move a library into higher tiers faster than image counts suggest.

Worked example with the calculator's example unit prices: a base of €30,000 per year and tiers of 5 TB at €12,000 each. The calculator adds a user component of 15% of the per seat cost. A library of 3.36 TB in year 1 sits in one tier and costs €50,100. By year 3 it reaches 5.25 TB, crosses into a second tier and costs €62,100.

Ask the vendor which measure defines the tier: stored originals, originals plus renditions, versions, or archived files. Renditions and version history can multiply stored volume. Ask for the price of the next two tiers in the quote.

Platform tier pricing

Platform tier DAM pricing sells a package of modules, user allowances and storage at a fixed annual fee. The model suits organisations that need a DAM, a brand portal, workflow and distribution in one contract.

The comparison work sits in the tier contents. List every module, allowance and limit per tier side by side, because two vendors' "professional" tiers rarely contain the same things. Then price the tier you need in year 3, after expected growth.

Worked example with the calculator's example unit prices: a platform fee of €75,000 per year including 10 TB, rising 5% a year. Storage beyond 10 TB costs €1,500 per TB. For the 3.36 TB library, year 1 costs €75,000 and year 5 costs €91,163. The library stays under the included 10 TB, so no overage applies.

DAMSelection assessment: the step to the next platform tier is where buyers find the largest surprises. Ask for the price of the next tier up. Ask also for the trigger that moves you there: a module, a user cap or a storage limit.

Add-ons that change the ranking

DAM add-ons often decide which quote is cheapest over five years, because they price the lines that grow. A base licence that looks lower can end up higher once add-ons are priced at your volumes.

Add-onHow it is often pricedWhat to ask for in the quote
AI credits or AI operationsPer 1,000 operations, credit bundles or tier allowancePrice per operation type, allowance, overage rate
Brand portalPer portal, per visitor or within a tierNumber of portals included, external user rules
PIM, CMS and creative connectorsPer connector per year, or within a tierWho builds and maintains the connector
Delivery and CDN egressPer TB delivered, or allowance per tierAllowance, overage rate, CDN included or separate
Extra environmentsPer sandbox or test environmentWhether integrations can be tested before go-live
Video processingPer minute transcoded or streamedAllowance and overage
Single sign-on and user provisioningWithin higher tiers or as an add-onTier in which SAML and SCIM are included
Premium support and service levelsPercentage of licence or fixed feeResponse times, European support hours, service credits
Data residencyRegion surcharge or tier conditionRegion of primary data, backups and AI processing

AI credits deserve special attention. Fact: an AI credit or operation is a metered unit the vendor defines. Ask which actions consume credits, such as auto-tagging, semantic search indexing or generative edits. Ask how many credits each action uses.

Storage, egress and AI: the variable lines

Storage, egress and AI consumption are the DAM pricing lines that vary with use, and DAMSelection treats them as the main five-year cost risk. DAMSelection assessment: these lines drive five-year DAM cost more than licence fees in libraries that grow fast or deliver assets to channels.

Fact: cloud infrastructure providers charge for data transferred out to the internet per GB, as the Amazon S3 pricing page shows. A DAM vendor that hosts on such infrastructure either passes egress on, bundles an allowance, or absorbs it into the licence. Ask which of the three applies and what happens beyond the allowance.

The total cost of ownership guide runs two worked examples with the same organisation. In the heavier one, consumption lines reverse the ranking of the three archetypes.

How to compare DAM quotes

DAM quotes become comparable when every vendor prices the same volume sheet and the buyer converts each quote into the same five-year cost lines. Six steps make that work.

  1. Send one volume sheet with the RFP. It lists users by role, external users, asset count, TB stored, yearly growth and video share. It adds yearly egress, AI operations, integrations and environments.
  2. Ask for a price per line with unit rates, including the rates for the next two storage or platform tiers.
  3. Enter each quote into the same five-year model, line by line.
  4. Run three growth scenarios: low, expected and high.
  5. Add renewal terms: price increase cap, term length and the price after the first term.
  6. Add exit cost: export format, assistance and any charges at termination. Fact: the EU Data Act abolishes switching charges for data processing services from 12 January 2027 under Article 29.

Use a table like this for every shortlisted vendor. The rows stay fixed; the vendor columns fill from the quotes.

Observed DAM price ranges

The DAM Pricing Index publishes observed DAM price ranges by pricing archetype and company size, drawn from anonymised quotes. A cell publishes only when it holds at least five quotes, and every cell shows its sample size.

Until a cell publishes, DAMSelection gives no price range for it. Treat any range found online as a starting point for questions, and replace it with quotes priced on your own volume sheet. The business case guide shows how the five-year cost per archetype feeds the net value.

Frequently asked

How much does a DAM system cost?

DAM cost depends on the pricing archetype, user count, library volume, growth and add-ons, so one figure misleads. Model five-year cost per archetype in the TCO Calculator with your volumes. The DAM Pricing Index publishes observed ranges by archetype and company size once a cell holds five quotes.

Is per user or per storage DAM pricing cheaper?

Per user DAM pricing is cheaper for a large library with few active users. Per storage pricing is cheaper for many users and a stable library. Fast growth, video and delivery volume can reverse the result, so run both archetypes with low, expected and high growth before deciding.

What is an AI credit in DAM pricing?

An AI credit is a metered unit a DAM vendor uses to charge for AI actions such as auto-tagging, semantic indexing or generative edits. Each vendor defines its own unit. Ask which actions consume credits, how many each uses, the included allowance and the overage price.

Why do DAM vendors quote prices on request?

DAM vendors that quote on request do so because price depends on users, volume, modules and hosting region. DAMSelection assessment: quote-based pricing makes a common volume sheet essential. Send every vendor the same sheet and ask for unit rates, so quotes become comparable line by line.

Can DAM pricing be negotiated?

DAM pricing is negotiable, and the highest value lies in the five-year curve. Negotiate fixed rates for the next two storage tiers, AI credit rates, external user prices and an annual renewal cap. The pricing negotiation guide explains timing and contract terms.
