Short answer
Five-year DAM total cost of ownership adds licence fees, storage growth, delivery egress, AI credits, implementation, integrations, migration and internal staff time. In DAMSelection worked example, a library growing 35% a year with 120 TB of yearly egress reverses the ranking of the three pricing archetypes, so storage, egress and AI consumption need explicit modelling before quotes are compared.
The cost lines in five-year DAM TCO
Five-year DAM total cost of ownership has eleven cost lines, and a complete model prices every one of them. Licence quotes cover one or two lines; the rest come from the buyer's own volumes, partners and staff.
| Cost line | Type | Driver | Who prices it |
|---|---|---|---|
| Licence or platform fee | Recurring | Users, tier, modules | DAM vendor |
| Storage | Recurring, growing | Library volume, growth, video share | DAM vendor |
| Delivery egress | Recurring, growing | TB delivered to channels and users | DAM vendor or CDN provider |
| AI credits | Recurring, usage-based | Tagging, indexing, generative actions | DAM vendor |
| Implementation services | One-off | Configuration, schema, workflows | Vendor or implementation partner |
| Integration build | One-off | Number and depth of integrations | Partner or internal developers |
| Integration run | Recurring | Monitoring, maintenance, connector fees | Partner, vendor or IT |
| Migration | One-off | Assets, metadata mapping, cleansing | Partner or internal team |
| Internal DAM staff | Recurring | DAM manager, librarian, administrator time | Organisation |
| Training and change | One-off and recurring | User groups, onboarding of new staff | Organisation or partner |
| Exit | One-off, at the end | Export, transfer, parallel running | Vendor and organisation |
DAMSelection assessment: storage, egress and AI credit consumption drive five-year DAM cost more than licence fees. The effect appears once a library grows fast or delivers assets to channels. The two worked examples show where that holds and where it does not.
How the TCO Calculator models each line
The TCO Calculator builds five yearly rows per pricing archetype from your volumes and editable unit prices. The method matches the worked examples on this page exactly.
- Storage in TB is asset count times average file size, grown each year by the growth rate. A video uplift percentage adds the extra volume of video files.
- Per seat cost is named users times the user rate, plus external users times the external rate. A storage component adds a quarter of the per-TB storage rate.
- Per storage tier cost is a base fee plus one tier step for every started block of TB. A user component adds 15% of the named-user cost.
- Platform tier cost is a platform fee rising 5% a year, plus storage beyond the included TB at the storage rate.
- Egress, AI operations, internal staff and integration run costs apply equally to all three archetypes.
- Implementation, integration build and migration land in year 1.
The calculator holds egress and AI operations flat across the five years. If you expect them to grow, enter the year 5 volume for a cautious view. Training, extra environments and exit cost sit outside the calculator; add them by hand.
Inputs to collect before modelling
A five-year DAM TCO model needs twelve inputs from the buyer before any vendor quote arrives. Most come from the content audit, the selection team and IT.
- Named users by role: administrators, contributors and viewers.
- External users: agencies, retailers, distributors and partners.
- Asset count today and average file size per asset type.
- Yearly growth over the last two to three years.
- Share of video, layered design files and high-resolution masters.
- Yearly delivery volume in TB, from web analytics, CDN reports or file transfer logs.
- Expected AI operations per year: assets to tag, re-indexing and generative edits.
- Integrations: PIM, CMS, e-commerce, creative tools and marketing automation.
- Assets and metadata to migrate, with the share that needs cleansing.
- Internal DAM staff in FTE and their loaded cost.
- Environments needed for testing and integration work.
- Hosting and residency conditions that limit the vendor's region options.
Growth assumptions decide the result
Library growth is the DAM TCO assumption with the largest effect, because storage-driven charges compound every year. Measure growth from the content audit: the last two to three years of new files per year, split by asset type.
| Yearly growth | Library size in year 5, as a multiple of year 1 |
|---|---|
| 15% | 1.75 |
| 25% | 2.44 |
| 35% | 3.32 |
| 50% | 5.06 |
Fact: a library growing 25% a year roughly doubles in three years, because 1.25 to the third power is 1.95. Video changes the volume more than the count. A team that adds product videos or raw footage can see file size per asset rise much faster than asset numbers.
Run three scenarios for every vendor: low, expected and high growth. A vendor that wins only under low growth carries the most budget risk.
Worked example A: a mid-market library
Worked example A uses the calculator's default inputs, which describe a mid-market brand with a moderate library and light delivery. All unit prices are example assumptions from no vendor.
Assumptions: 60 named users, 150 external portal users, 200,000 assets at 12 MB, 25% yearly growth and a 40% video uplift. Egress is 6 TB per year at €90 per TB, and AI operations are 400,000 per year at €4 per 1,000. Three integrations cost €15,000 each to build and €4,000 each per year to run. Implementation costs €60,000, migration €25,000, and internal staff 0.5 FTE at €75,000.
The library grows from 3.36 TB in year 1 to 8.20 TB in year 5.
| Year | Per seat | Per storage tier | Platform tier |
|---|---|---|---|
| Year 1 | €245,900 | €231,740 | €256,640 |
| Year 2 | €116,215 | €101,740 | €130,390 |
| Year 3 | €116,609 | €113,740 | €134,328 |
| Year 4 | €117,101 | €113,740 | €138,462 |
| Year 5 | €117,716 | €113,740 | €142,803 |
| Five-year total | €713,541 | €674,700 | €802,622 |
Per storage tier is cheapest. In this example the licence line dominates and consumption stays small. Storage, egress and AI together cost €10,700 to €106,700 over five years, depending on the archetype. Example A shows when the DAMSelection position does not apply: a slow, image-heavy library with little delivery through the DAM.
One-off services cost €130,000, which is 19% of the cheapest five-year total. Internal staff cost €187,500, almost equal to the per storage tier base of €190,500.
Worked example B: a fast-growing delivery library
Worked example B keeps the same organisation, users and unit prices, and changes only the library and its use. The library now holds high-resolution masters, more video and feeds e-commerce channels through the DAM.
Changed assumptions: 500,000 assets at 25 MB, 35% yearly growth and an 80% video uplift. Egress rises to 120 TB per year and AI operations to 6,000,000 per year. The library grows from 22.5 TB in year 1 to 74.7 TB in year 5.
| Five-year cost line | Per seat | Per storage tier | Platform tier |
|---|---|---|---|
| Licence or platform base | €315,000 | €190,500 | €414,422 |
| Storage-driven charges | €83,990 | €576,000 | €260,960 |
| Egress | €54,000 | €54,000 | €54,000 |
| AI operations | €120,000 | €120,000 | €120,000 |
| Staff, integration run, one-off services | €377,500 | €377,500 | €377,500 |
| Five-year total | €950,490 | €1,318,000 | €1,226,883 |
The ranking reverses. Per storage tier, cheapest in example A, becomes the most expensive. Per seat, second in example A, becomes the cheapest by €276,393. Storage, egress and AI cost more than the licence base under the per storage tier and platform tier archetypes.
Example B is the case the DAMSelection position describes. A buyer who compared licence quotes alone would have picked the most expensive option.
Cost lines the model leaves out
Five-year DAM TCO models often miss five lines that a complete business case includes. Add them by hand next to the calculator result.
- Training and change: onboarding sessions, materials and a trainer's time for every user group.
- Extra environments: sandbox or test environments for integration work.
- Renewal increases: the calculator applies a 5% yearly rise to the platform archetype only. Apply the contract's renewal cap to every archetype.
- Premium support: a percentage of licence or a fixed fee for faster response.
- Exit: export, transfer to the next system and a period of parallel running.
Fact: the EU Data Act abolishes switching charges for data processing services from 12 January 2027 under Article 29. Exit still costs internal time and partner effort, so model it. The exit strategy guide lists what to export.
Using TCO in the selection
Five-year DAM TCO serves three later checkpoints, and each one needs the same model kept up to date. Build it once in checkpoint 3, Justify, and refresh it with every round of quotes.
- Shortlisting: the budget envelope removes vendors whose expected five-year cost falls outside it. See shortlisting.
- Quote comparison: every vendor prices the same volume sheet, and the buyer converts quotes into the same lines. See DAM pricing.
- Negotiation: the lines that grow fastest become the negotiation targets, such as tier rates, AI credit rates and renewal caps.
The business case uses the expected-growth total as its cost side, with the low and high totals as its range. The Selection Route shows where each step sits.
Frequently asked
What is a typical five-year DAM TCO?
A typical five-year DAM TCO figure would mislead, because volume, growth, delivery and pricing archetype move the total by large amounts. The DAM Pricing Index publishes observed price ranges once a cell holds five quotes. Until then, model your own volumes in the TCO Calculator and replace example prices with quotes.
How much does DAM storage cost per TB?
DAM storage cost per TB depends on the vendor, the pricing archetype and whether renditions and versions count. The TCO Calculator uses €1,500 per TB per year as an example assumption only. Ask every vendor for its per-TB rate, the included allowance and the rates for the next two tiers.
What share of DAM TCO is implementation?
Implementation share varies with scope and integrations. In DAMSelection worked example A, implementation, integration build and migration total €130,000, which is 19% of the cheapest five-year total. A complex migration or several deep integrations raise that share, so price them from partner quotes.
Is open source DAM cheaper over five years?
Open source DAM removes or lowers the licence line and moves cost into hosting, storage, developers and support. Whether five-year cost falls depends on internal skills and volume. Model hosting, egress and staff explicitly, and compare against the same volume sheet used for commercial quotes.
How often should we update the DAM TCO model?
Update the DAM TCO model at every checkpoint that brings new prices: after RFP answers, after the proof of concept and before signature. After go-live, refresh it once a year with measured storage, egress and AI use, ahead of renewal talks.
