DAM KPIs

Short answer

DAM KPIs are the measures that show whether a digital asset management system is used, trusted and paying back. The DAMSelection rule of thumb is 12 to 16 KPIs in four groups: usage, quality, value and cost. Track them monthly from launch against the baseline recorded in the business case, and give every KPI one named owner and a written formula.

What DAM KPIs measure

DAM KPIs measure four things: use, content fitness, savings and cost per unit of use. Each group answers one question the DAM owner reports on after DAM implementation. A KPI set that covers only usage shows activity without value. A set that covers only value relies on estimates nobody can audit.

DAMSelection assessment: adoption decides DAM success, so usage KPIs come first in every report. Quality KPIs explain usage trends, because people stop searching a library they cannot trust. Value and cost KPIs feed the DAM ROI model and the renewal decision.

A DAM KPI is a measure with five parts: a name, a definition, a formula, a cadence and an owner. A KPI without a formula produces a different number every month. A KPI without an owner produces no action.

The DAM KPI table

The DAM KPI table lists 16 KPIs with the five parts each one needs. Copy it, delete the KPIs your platform cannot measure, and add your targets in a sixth column.

The DAM RACI names the people behind each owner role. The KPI owner reports the number and starts the fix when it misses target.

Usage KPIs

Usage KPIs show whether the DAM has become the default place to get an asset. Active user ratio is the headline number. Search success rate and zero-result search rate explain it.

Read usage KPIs together. A high active user ratio with low search success means people try the DAM and fail. A rising zero-result rate after a campaign launch means new content arrived without metadata or synonyms. The taxonomy owner reviews the top 50 zero-result terms every week and adds values or synonyms where users expect them.

DAM share of retrieval matters most in the first six months. The KPI compares the DAM with old shared drives, and it reaches its end state when old drives become read-only. The user adoption guide gives the retirement steps.

Quality KPIs

Quality KPIs show whether the library is fit to use and safe to publish. Metadata completeness and rights coverage drive findability and legal safety.

Expired assets in use is the only KPI with a target of zero. Each expired asset in a live channel is a potential licence breach. Report the count weekly with the asset list attached, so legal can withdraw each one. The rights exposure estimator helps size the risk before the KPI exists.

Measure metadata completeness per asset type, because required fields differ for product images, campaign assets and video. DAMSelection rule of thumb: start with 90% completeness as the target for newly uploaded assets and a lower, rising target for migrated assets. Upload to available time shows whether enrichment keeps pace with production.

Value KPIs

Value KPIs show whether the DAM saves time, reduces production and serves channels at scale. Asset reuse rate, time to find and integration-delivered renditions carry the value story.

Asset reuse rate needs a usage signal the DAM can see: downloads by different teams, placements through connectors or deliveries to more than one channel. Agree the counting rule with the DAM owner before launch. A change in the rule breaks the trend line.

Time to find works best as a quarterly test, because log data mixes known-item searches with browsing. ISO 9241-11:2018 treats usability as an outcome of use, which suits a task-based test.

  1. Pick 10 known assets that represent common requests.
  2. Ask 5 to 8 users from different teams to find each one, with a timer.
  3. Record seconds to download and the number of failed attempts.
  4. Report the median per task and compare it with the pre-launch baseline.
  5. Repeat with the same tasks each quarter, replacing assets that leave the library.

Cost KPIs

Cost KPIs show what each unit of DAM use costs and whether metered consumption threatens the budget. Cost per active user and consumption against allowance are the two to track.

DAMSelection assessment: storage, egress and AI credit consumption drive five-year DAM cost more than licence fees. Track each metered resource monthly against the contract allowance. A resource that passes 80% of its allowance before month nine of the contract year needs a decision before overage charges start (DAMSelection rule of thumb). The TCO calculator models those resources over five years.

Worked example: cost per active user

Worked example: a DAM costs 96,000 euros per year in licence, storage and support. The average month has 400 active users. Cost per active user is 96,000 / 400 = 240 euros per year. If active users rise to 600 with the same cost, the figure falls to 160 euros. The number gives the renewal team a unit price to compare with alternatives.

Set the baseline and targets

DAM KPI targets need a baseline measured before launch, because a launch number without a before number proves nothing. The business case should already hold the baseline for time to find, asset requests by email and production spend.

  1. Measure time to find on the old drives with the 10-task test.
  2. Count asset requests sent by email or chat to the brand or studio team for four weeks.
  3. Record annual production spend on photography, video and design rework.
  4. Export access logs from old drives and portals for 12 months.
  5. Set month-three, month-six and month-twelve targets for each KPI.
  6. Sign the targets off with the DAM owner and file them with the business case.

Build the monthly KPI report

The monthly DAM KPI report fits on one page and ends with decisions. Long reports go unread, and reports without actions repeat the same misses.

Report sectionContent
HeadlineActive user ratio, search success rate, expired assets in use
TrendThree-month trend for every KPI against target
MissesEach KPI below target, its cause and the owner's action
ConsumptionStorage, egress and AI credits against allowance

Send the report to the governance change board and the DAM owner. Keep every monthly report, because the Renewal Radar playbook starts with 12 months of KPI history at 180 days before renewal.

DAM KPI pitfalls

DAM KPI programmes fail in five predictable ways.

  • Counting logins as adoption. Logins without downloads or shares show failed visits.
  • Changing formulas mid-year. A new counting rule breaks the trend and the baseline.
  • Measuring only what the vendor dashboard shows. Export raw logs where the dashboard lacks a formula.
  • Reporting without owners. A miss with no named owner gets no action.
  • Ignoring consumption. Metered storage, egress and AI credits surprise budgets at renewal.

Frequently asked

What are the most important DAM KPIs?

The most important DAM KPIs are active user ratio, search success rate, metadata completeness, expired assets in use and asset reuse rate. Together they cover usage, quality, legal risk and value. Add cost per active user and consumption against allowance once the contract year is under way.

How do you measure DAM ROI?

DAM ROI compares measured savings with total DAM cost over three to five years. Savings come from time to find, fewer duplicate productions, fewer email asset requests and avoided licence breaches. Measure each saving against the baseline recorded before launch, and use total cost including storage, egress, AI credits and internal staff.

How often should DAM KPIs be reported?

Report DAM KPIs monthly to the DAM owner and the change board, with weekly checks on expired assets in use, zero-result searches and sync failures. Run time to find, reuse rate and cost per active user quarterly, because those KPIs need a full quarter of data to show a trend.

What is a good asset reuse rate?

A good asset reuse rate depends on the asset mix, so set the target against your own baseline. Product images reuse across many channels, while event photos rarely reuse. Track the rate per asset type, and use the trend after launch as the signal that the DAM reduces repeat production.

Who owns DAM KPIs?

The DAM owner is accountable for the DAM KPI set and the monthly report. Individual KPIs belong to the role that can fix them: the DAM manager for usage and completeness, legal for rights KPIs, the taxonomy owner for search failures and IT for sync failures.
