DAM vs SharePoint and Google Drive

Short answer

SharePoint and Google Drive store and share files, and a DAM governs media files. A DAM adds structured metadata, visual search, renditions, usage rights, approval workflows and brand portals. The DAMSelection rule of thumb: teams move from shared drives to a DAM once the media library passes about 10,000 assets, external sharing happens weekly, or licensed images carry expiry dates.

What shared drives do well

SharePoint and Google Drive handle document collaboration, file storage and permission-based sharing at low marginal cost for organisations that already pay for Microsoft 365 or Google Workspace.

Shared drives cover the first DAM job, ingest and storage, at a scale most media libraries never reach. The documented limits are generous. For a small team with a few thousand files and no licensed imagery, a shared drive is a reasonable choice.

CapabilitySharePoint in Microsoft 365 (Fact)Google Drive in Google Workspace (Fact)
Maximum file size250 GB per file uploadFiles up to 5 TB
VolumeUp to 30 million files and folders per library750 GB upload and copy per user per 24 hours
Version historyUp to 50,000 major versions per fileVersion history per file
MetadataColumns and managed metadata from a central term storeDrive labels with text, integer, date, user and selection fields
Approved image libraryUp to 30 organisation assets libraries, surfaced in the page file picker and Office appsShared drives with member permissions

SharePoint and Google Drive go further than most buyers expect. Managed metadata in SharePoint lets administrators create term sets that become document attributes and refine search. An organisation assets library lets users pick approved images and logos inside SharePoint pages and Office desktop apps. Drive labels in Google Drive let administrators define structured fields that users apply to files. These features cover part of what a small brand team needs.

Two documented SharePoint limits matter for media libraries. A library with more than 100,000 items no longer allows breaking permission inheritance on that library or folder. The full decoded file path, including the file name, cannot exceed 400 characters, which deep folder trees reach quickly.

Where shared drives fall short for media

Shared drives lack six media-specific capabilities, and each gap turns into manual work or licence risk as volume and external sharing grow.

DAMSelection assessment, based on PIMvendors selection projects. Some gaps can be closed with configuration, automation flows or add-ons. Each workaround adds maintenance that a DAM provides as standard.

Folder hierarchies force one path to each file. A photo of a red trainer in a spring campaign for the Dutch market lives in one folder, while users search by product, campaign, market or colour. Faceted search on a metadata schema lets each user filter along the dimension that matches the task.

Rights carry the largest risk. A licensed image with a two-year term looks identical to an owned image in a shared drive. Nothing stops a download after the licence ends, and the copy then lives in every channel that used it. The rights management guide explains the three enforcement levels a DAM can apply.

When a shared drive is still the right choice

A shared drive remains the right choice for a team with a small, owned, internally used media library, and a DAM purchase in that situation is premature.

DAMSelection assessment: a DAM adds a licence, an administrator role and a metadata discipline. Those costs pay back only when the problems they solve exist. Keep the shared drive when all of the following hold.

  • The library holds fewer than about 5,000 media files, and growth stays under 1,000 files per year
  • One team of fewer than ten people creates and uses the files
  • The organisation owns the rights to all imagery, with no stock, talent or model-release terms
  • External partners receive files a few times per year
  • Files serve one or two channels, and nobody resizes images by hand every week

In that situation, three disciplines close most gaps. Agree a naming convention that carries date, subject and status. Limit folder depth to four levels. Use SharePoint columns, managed metadata or Drive labels for the two or three fields people filter on most. Review the decision once a year against the seven signals that an organisation needs a DAM.

The hybrid model most organisations run

Most organisations keep documents in Microsoft 365 or Google Workspace and move media into a DAM, linked by a connector.

The split follows the file type and its use. Contracts, briefs, presentations and spreadsheets stay where people co-edit them. Images, video, design files and packaging artwork move to the DAM, where they gain metadata, renditions and rights control.

ContentStays in the shared driveMoves to the DAM
Office documents and briefsYesFinal versions for external distribution only

Product and campaign imagesNoYes, with metadata and rights
VideoWorking files during editingApproved masters and renditions
Packaging artworkNoYes, with versioned approval
Contracts for licences and model releasesYes, as legal recordsLinked from each asset as rights evidence

A connector lets users insert DAM assets into Office documents and presentations without downloading copies. The Microsoft 365 integration page lists the DAM platforms with documented connectors. DAMSelection assessment: test the connector with the real Office versions in use, because add-in support differs between desktop and web apps.

What the shared drive really costs

A shared drive looks free because the licence is already paid, and its real cost sits in search time, duplicate production and rights exposure.

Teams rarely measure these costs before selection. A one-week time log gives a usable baseline. The DAM ROI guide explains the four value sources in full.

Worked example: a marketing team of 15 people logs 90 minutes per person per week searching, requesting and resizing images. At an assumed loaded cost of 60 euros per hour, that is 1,350 euros per week, or about 63,000 euros over 46 working weeks. Add the cost of reshooting images that existed but were not found, and the exposure from licensed images with unknown terms. The TCO Calculator compares that baseline with five-year DAM cost.

The comparison works only with real numbers. Replace the assumed hours and rates with the team's own log before the figures enter a business case.

The migration path

A move from a shared drive to a DAM follows seven steps, and the folder structure becomes metadata in the process.

DAMSelection assessment: copying the folder tree into a DAM recreates the shared drive with a higher licence fee. The migration converts folder names into metadata values, then lets facets replace folders. The migration plan and the content audit cover each step in depth.

  1. Audit the drive: count files by type, size, age and folder, and list external sharing links.
  2. Deduplicate by file hash, then by visual similarity for resized copies.
  3. Map folder levels to metadata fields, as in the worked example.
  4. Capture rights for licensed and stock images before migration, or quarantine them.
  5. Pilot with one team and 2,000 to 5,000 assets, then adjust the schema.
  6. Migrate in waves by team or brand, with metadata validated per wave.
  7. Set the old folders to read-only, then archive them after an agreed period.

Worked example: folder path to metadata

Folder levelExample valueDAM metadata field
Level 1MarketingOwning department
Level 22025Year
Level 3Spring CampaignCampaign (controlled vocabulary)
Level 4NLMarket
Level 5FinalLifecycle status: approved
File nameIMG_0042.jpgKept as original file name, AI tags added for content

The mapping turns one path into five searchable values. A user can then find every approved Dutch asset across all campaigns, which the folder tree never allowed. The metadata model builder helps turn the folder levels into fields and vocabularies.

Frequently asked

Is SharePoint a DAM?

SharePoint is a document management and collaboration platform. SharePoint offers metadata columns, managed metadata, version history and organisation assets libraries for approved images. SharePoint lacks native rendition presets per channel, rights expiry enforcement at download and branded external portals, so most teams outgrow it for media at scale.

Can Google Drive be used as a DAM?

Google Drive can serve as a basic asset store for a small team with a few thousand files, in-house imagery and little external sharing. Drive labels add structured fields, yet Google Drive lacks rendition presets, rights expiry enforcement and brand portals, so licence risk and search time grow with the library.

When should we move from SharePoint to a DAM?

Move from SharePoint to a DAM when the media library passes about 10,000 assets, external partners download files weekly, or licensed images carry expiry dates. The DAMSelection rule of thumb assumes at least two of these conditions hold. One condition alone can often be handled with SharePoint configuration.

Can a DAM integrate with SharePoint and Microsoft Teams?

Many DAM platforms offer connectors for Microsoft 365, letting users insert approved assets into Office documents, SharePoint pages or Teams without downloading copies. Connector depth differs by vendor and by app. Test the connector in a demo with the Office versions your organisation runs.

How long does a migration from a shared drive take?

A shared drive migration takes 6 to 16 weeks as a DAMSelection rule of thumb, for libraries of 20,000 to 200,000 files. Duplicate rates, rights capture and the number of folder structures to map drive the duration more than raw file count.
